Terms of service
Last updated: 19 October 2026
These terms apply when you use BidTrowel, a service run by [COMPANY NAME] Ltd (company number [COMPANY NUMBER], registered office [REGISTERED OFFICE ADDRESS]). "We" means [COMPANY NAME] Ltd. "You" means the business or person using the service.
1. What BidTrowel does
BidTrowel collects public procurement notices from official UK sources, matches them to the trades and areas you choose, scores them, sends you alerts and, on paid plans, helps you draft bid answers from documents you upload.
BidTrowel is independent. It is not part of, or endorsed by, the UK Government, Find a Tender, Contracts Finder or any public buyer.
2. Who can use it
The service is designed for businesses, including sole traders. You must be 18 or over and give accurate details. If you use it for a company, you confirm you can accept these terms for it.
3. Accuracy of tender information
Listings, scores and summaries come from public notices and automated processing, including AI. They can be incomplete, out of date or wrong. The official notice always takes precedence. Check the official notice and the buyer's documents before deciding to bid or relying on any detail, including deadlines.
Scores are a guide to fit. They are not a prediction that you will win, and nothing in the service is legal, financial or procurement advice.
4. AI drafting
Drafts are produced by AI from the documents you upload and the tender you select. You are responsible for checking, editing and approving everything you submit to a buyer, including that it is true and that you can deliver what it says. Do not submit a draft you have not reviewed.
5. Your content
You keep ownership of everything you upload and everything we draft for you. You give us permission to store and process it only to provide the service to you. We do not use your content to train AI models, and we do not share it with other customers.
Only upload documents you have the right to use. Do not upload other people's personal data unless you have a lawful basis to share it with us.
6. Plans and payment
- Free plans can be used for as long as we offer them.
- Paid plans are billed monthly in advance through our payment provider. We confirm the price before taking any payment and never charge you without your agreement. Prices are shown on our pricing page and exclude VAT where VAT applies.
- We will give you at least 30 days' notice of a price change for your plan. You can cancel before it takes effect.
- Bid reviews are priced per bid and agreed before work starts.
7. Cancelling
You can cancel a paid plan at any time by emailing us. You keep access until the end of the month you have paid for. You can stop free alerts at any time using the unsubscribe link in every email.
If you are a consumer rather than a business, you also have the legal rights consumers have, including the right to cancel within 14 days of buying. Nothing in these terms reduces those rights.
8. Acceptable use
Do not misuse the service: no attempts to break or overload it, no automated bulk copying of our pages or emails, no sharing your login outside your organisation, and no use that breaks the law or the rules of any procurement you take part in.
The public data we use stays available under the Open Government Licence from the official sources. These terms cover our service, software and the content we add.
9. Availability and changes
We aim to deliver alerts every working day but cannot promise the service will always be available or error-free, because it depends on official data feeds and other providers. We may change features. If a change materially reduces what a paid plan includes, you can cancel and get a pro rata refund.
10. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
Subject to that, we are not liable for lost profits, lost contracts, lost bids or other indirect losses, including losses from relying on a listing, score, summary or draft without checking the official notice. Our total liability in any 12-month period is limited to the fees you paid us in that period, or £100 if greater.
11. Ending the service
We may suspend or close an account that breaks these terms. If we close the service, we will give at least 30 days' notice and refund any unused prepaid period. You can export your documents and drafts at any time before your account closes.
12. Law
These terms are governed by the law of England and Wales. Courts in England and Wales have jurisdiction, but if you are a consumer living elsewhere in the UK you can also bring proceedings in your local courts.
